Overview
We are seeking an experienced and meticulous Preparation Manager to oversee the critical process of Job Card development, management, and control for a major oil and gas construction/maintenance project. The successful candidate will ensure that all work packages are fully prepared, detailed, and ready for execution, adhering to project schedules, technical specifications, and safety standards. This role is central to the efficient and safe handover of prepared work packages to the execution teams.
Key ResponsibilitiesJob Card & Work Package Management
- Lead the entire lifecycle of Job Cards (JCs), from initial scope breakdown through final sign-off and closeout.
- Develop and implement standardized procedures for Job Card creation, review, approval, and distribution, ensuring consistency across the project.
- Collaborate with engineering, planning, procurement, and operations teams to gather all necessary documentation, including drawings, specifications, procedures (WPS, NDE, Lifting plans, etc.), permits, and material lists.
- Ensure all JCs are technically accurate, include necessary safety requirements (HAZID/JSA inputs), manpower estimates, equipment requirements, and accurate work step sequencing.
- Manage and mentor a team of Preparators, Planners, and/or Work Package Engineers.
- Serve as the primary interface between the Project Planning/Scheduling team and the Site Execution/Construction team regarding work front availability and readiness.
- Chair regular readiness meetings (e.g., Work Face Planning sessions) to confirm Job Card completeness and resolve any preparation roadblocks (e.g., missing materials or permits).
- Maintain rigorous control over the Job Card database or management system (e.g., SAP, Maximo, or proprietary WFP software).
- Monitor the status of all work packages, tracking key metrics such as Job Card completeness (readiness index), time spent in preparation, and scheduled release dates.
- Report on the status of prepared work fronts and highlight potential risks to the project schedule due to preparation delays or scope gaps.
- Verify that all safety prerequisites, isolation points, and permit requirements are clearly defined and included in the Job Card before execution.
- Ensure all JCs align with the project's quality control (QC) requirements and inspection and test plans (ITPs).
Qualifications & Experience
- Bachelor's degree in Engineering (Mechanical, Civil, Electrical, or equivalent technical field) is preferred.
- Minimum of 8-10 years of experience in the Oil & Gas, Petrochemical, or Heavy Industrial sector.
- At least 3-5 years of direct experience in a management or senior role focused on Work Preparation, Planning, or Work Pack/Job Card creation and control.
- In-depth knowledge of Work Face Planning (WFP) methodologies is highly desirable.
- Proficiency with enterprise resource planning (ERP) and maintenance management systems (e.g., SAP PM/PP, Maximo) and advanced planning software (e.g., Primavera P6).
- Strong understanding of typical oil and gas project documentation (P&IDs, Isometrics, Data Sheets, etc.).
- Exceptional attention to detail and organizational skills.
- Strong leadership and team management capabilities.
- Excellent written and verbal communication skills for stakeholder management.
- Proactive problem-solver with the ability to identify and mitigate schedule risks related to preparation.
